Payment & Engagement Interruption

When do I get paid?

Upon completion of coaching session 1 you will be able to assess the leader’s coachability on the Coaching Platform. If the leader is coachable we will ask you to invoice us the first 50% and then the final 50% after session 10 is completed. As for the payment terms, once we receive your invoice, you will get paid 30 days End of Month.

 

What is the invoicing process?

This will be an automated process taking place on the Coaching Platform and will be implemented as follows:

 

Payment for the 1/2 invoice:

  • On the 15th of each month, the system will generate a draft of your invoice (this draft will include all the engagements that started from the 15th of the previous month to the 14th of the current month, only for the leaders that passed the Coachability Assessment).

    • Please note that your very first invoice will include all the engagements you started from the beginning of the project until the 14th of the current month.

  • You will receive an email notification asking you to review the drafted invoice and, if needed, to update the details on your invoice by latest the 19th of the current month.

  • On the 20th of each month the status of the invoice will change to "Payment Pending" and your pending invoice will be forwarded to our Finance Department for review and payment processing.

    • As previously shared, our payment terms are "30 days End of Month after receipt of invoice".

    • For each coaching engagement with a leader, you will receive the first 50% of the coaching fees at the start, and the final 50% after completion of the engagement.

  • Once the payment has been made, you will receive an email notification. Note that the wire transfer will be reflected in your account within 5 business days.

  • Once you confirm receipt of payment in your account, please update the status of the invoice to "Payment Completed" on the Coaching Platform.

 

Payment for the 2/2 invoice:

  • On the 15th of each month, the system will generate a draft of your invoice for engagements that were marked complete (you have inputted session attendance for session 10) before the 14th of the month.

    • If the session attendance is marked after the 14th, the invoice will be generated on the 15th of the following month.

  • You will receive an email notification asking you to review the drafted invoice and, if needed, to update the details on your invoice by latest the 19th of the current month.

  • On the 20th of each month the status of the invoice will change to "Payment Pending" and your pending invoice will be forwarded to our Finance Department for review and payment processing.

    • As previously shared, our payment terms are "30 days End of Month after receipt of invoice".

  • Once the payment has been made, you will receive an email notification. Note that the wire transfer will be reflected in your account within 5 business days.

  • Once you confirm receipt of payment in your account, please update the status of the invoice to "Payment Completed" on the Coaching Platform.

 

What information should my invoice include?

Upon logging into the Coaching Platform go to Settings → Invoice Information and follow the instructions below to fill out your invoice information:

Please make sure that you provide here the same information you provided for the statutory name when you signed the Independent Contractor Agreement (the subcontractor details).

  1. Click Edit

  2. Fill out all required fields

  3. Click Save

Beneficiary Details

The checkbox “Same name and address as above” will be automatically checked off. Note that the Beneficiary name & address need to be the same with the name and address provided under Invoice Information above.

Bank Details of Beneficiary

The bank country will be automatically filled out with the country from “Invoice information” above.

  1. Click Edit

  2. Fill out all required fields

  3. Click Save

Please make sure to keep your invoice information updated at all times.

 

Are introductory sessions paid?

Introductory sessions (chemistry meetings) are not paid. Also, they will be conducted online, like the entire coaching engagement.

 

If I fail to complete the activities in the given time, is that time compensated?

You are free to have sessions longer than the time allocated for each session in the Statement of Work, however, that time will not be compensated.

 

What happens if the leader is NOT coachable after Session 1?

In session 1 you will be asked to assess the leader’s coachability (Coachability Assessment). In case you decide the leader is NOT coachable, the process gets put on hold and we will take this forward with the client to discuss. In this case, it is most likely the leader will not be coached. You will get paid pro rata based on the hours in the Statement of Work (SOW).

 

What happens if the client interrupts the coaching engagement?

If the leader interrupts the coaching engagement, you get paid pro-rata based on the hours in the Statement of Work (SOW).

 

What happens if I cannot finalize the coaching engagement?

This should only happen in case you get hospitalized. Otherwise, we expect you to commit and finish the engagement once you have started it. Please bear in mind that this might affect your status as Associate Coach. In case this happens, you will get paid pro rata based on the hours in the Statement of Work (SOW).

 

What happens if the leader wants to place the engagement on hold?

As agreed with the client, the coaching process should be implemented without interruption as interruptions negatively impact and often nullify the change. As you surely know, a diet program that starts and stops is not likely to be effective.

Therefore, once the coaching process has started (you and your leader are already in session 2 and beyond), an interruption of the coaching process is not allowed (this is part of the client agreement). If you and the leader are still in session 1 the engagement can be put on hold under the following conditions.

As a coach:

Inform the leader that an interrupted change process does not create change.

If, for whatever reason, they still want to put the process on hold then ask them to email their manager about this and copy you as coach (and us). We will then also take this up with the client.

Please note that if the coaching engagement is halted for any reason then this also means that invoicing and payment to the coach will be halted till the coaching engagement resumes.
